Messages you send us
If you contact us by email, WhatsApp, or Facebook, we keep the message content and basic details (date and time, sender, contact details) so we can reply and keep a record of what was agreed.
WhatsApp and Facebook also process your information under their own privacy policies.

Website data
Our website platform and tools may collect technical data when you browse, such as IP address, device and browser type, and pages viewed. This is often collected through cookies or similar technologies.

Special requirements and health information
The “special requirements” field is for practical travel needs (for example wheelchair space or help with luggage). Please do not include medical detail unless it is needed to provide the journey.
If you choose to share health or accessibility information, we use it only to deliver the journey you asked for, and we limit access to it.

Why we use your information
We use your information to:
• Provide quotes, bookings, and journeys
• Communicate with you about your journey (changes, delays, lost property, complaints, queries)
• Keep basic records to protect customers and the business
• Keep accounts and business records
• Send marketing only where allowed (see Marketing)

Lawful bases
We rely on these lawful bases under UK data protection law:
• Contract: to provide quotes, bookings, and journeys
• Legitimate interests: to run the service, handle issues, prevent fraud, and keep appropriate records
• Legal obligation: to meet legal and tax record keeping requirements

Marketing
We only send marketing messages where the law allows it. If we send marketing by email or text, you can opt out at any time using any unsubscribe option provided or by emailing peter@vealeswheelstransfers.com.

Payments
We can take payments:
• In vehicle by card or contactless (including Apple Pay and Google Pay)
• Online via a secure payment link or invoice provided by a payment provider
We do not store full card details. Payment providers handle card details and payment processing.
Do not send card details by email or via website forms.
We keep payment records such as date, amount, and a reference so we can confirm payment and keep accounts.

Who we share information with
We share personal information only where needed to run the service, such as with:
• Our website hosting and forms provider
• Email and phone providers we use to communicate with you
• Payment providers

We do not sell personal information.

Where your information is stored
We store information in our business email, phone, and booking records.
Some suppliers may process data outside the UK. When that happens, we use appropriate safeguards for international transfers.

How long we keep your information
We keep personal information only for as long as needed for the purpose it was collected.
Typical retention periods:
• Unsuccessful quotes: up to 12 months
• Bookings and customer service records: up to 24 months after the journey (longer if there is an ongoing issue)
• Accounts and business records: as long as required for tax and business record keeping
• Marketing lists: until you unsubscribe or we remove inactive contacts

Cookies
Cookies store or access information on your device. Some cookies are needed for the site to work. Others support analytics or marketing.
Where required, we ask for consent for non essential cookies. You can manage cookies using any cookie banner on the site and your browser settings.

Your rights
You have rights over your personal information, including the right to access, correct, delete, restrict, object, and request portability. You can object to direct marketing at any time.
To exercise your rights, contact peter@vealeswheelstransfers.com.
If you are unhappy with how we handle your information, you can complain to the UK Information Commissioner’s Office (ICO).

Security
We use reasonable security measures suited to a small private hire business, including access controls and limiting who can access customer information.
No system is risk free. Avoid sending sensitive payment details by email or in free text fields.

Children
We provide journeys for families and children. An adult must make the booking.
If a booking includes a child, we may process details you give us about the child (for example age, car seat needs, pickup information, special requirements). We use this only to provide the journey, deal with any issues, and keep records as set out above.
We do not send marketing messages aimed at children.

Changes to this policy
We may update this policy from time to time. We will update the “Last updated” date when we do.
